We use Your Personal Data to provide and improve the platform. By using Solid Roots, You agree to the collection and use of information in accordance with this Privacy Policy.

- You means the individual accessing or using the Service, or the real estate firm, property management company, or legal entity on behalf of which such individual is accessing the Service.

Personal Data
While using Our Service, We may ask You to provide Us with certain personally identifiable information to manage properties, field buyer inquiries, and secure your account. This may include:
- Email address (for admin login and system alerts)

- KRA PIN or identification documents (if required for verified agent onboarding)

Inquiry & Buyer Data
As an administrator, you will process data submitted by potential buyers inquiring about properties. This data (e.g., buyer names, contact details, and budgets) is stored securely within the Solid Roots system to facilitate property transactions. We act as a data processor for this information on behalf of Your real estate firm.
Usage Data
Usage Data is collected automatically when administrators use the Service. This includes Your Device's IP address, browser type, pages visited, time of visit, and unique device identifiers. This helps us audit system secure and ensure only authorized personnel access property records.
Use of Your Personal Data
The Company may use Personal Data for the following purposes:
- To provide and maintain our Service, including monitoring the usage of our property management tools.
- To manage Your Account: to manage Your registration as an administrator or agent.
- For the performance of a contract: compliance and execution of agreements regarding your use of the Solid Roots platform.
- To contact You: regarding security updates, system outages, or immediate alerts when new inquiries are submitted on your active listings.
- To manage Your requests: To attend and manage support requests to Our technical team.
- For legal obligations: To comply with property viewing ledgers and data retention laws under Kenyan real estate and data protection regulations.

Service Providers
We may share Your personal information with Service Providers, such as cloud hosting platforms (e.g., Supabase) and communication APIs (e.g., Resend), strictly to facilitate the execution of the Solid Roots platform.

The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:
- Comply with a legal obligation (e.g., court orders regarding land dispute investigations in Kenya).
- Protect and defend the rights or property of Solid Roots.

We employ industry-standard encryption, secure databases (via Supabase), and strict role-based access control (RBAC) to ensure that only authorized team members can view, edit, or archive your property listings and buyer inquiries. However, no method of transmission over the Internet, or electronic storage, is 100% secure.

We strictly adhere to the principles of the Kenya Data Protection Act 2019. You have the right to:
- Be informed of the use to which your Personal Data is to be put.
- Access your Personal Data in our custody.
- Object to the processing of all or part of your Personal Data.
- Correct false or misleading data.
- Delete false or misleading data about you.
If you are a property management firm using our platform, you remain the Data Controller for the buyer inquiries you receive; Solid Roots acts as the Data Processor.
